  Administrative Coordinator

General Description:

The Administrative Coordinator will provide administrative support and research assistance for the office of the Director of the Berman Institute, including:   managing the Director’s calendar; research and analysis for scholarly articles, grant/contract proposals, presentations, and projects; and general administrative support and records control.  May perform duties of a sensitive and confidential nature.

 

Responsibilities:

     Provide research support for academic and policy-oriented inquiries. Perform literature searches for scholarly/news/scientific material and perform electronic database searches using sources such as Lexis/Nexis, PubMed, and others. Synthesize, evaluate, and triage material. Prepare drafts for projects, grants, presentations, and papers as time permits.

    Manage conflict-free calendar of meetings and appointments for the Director.  Exercise a high level of independent judgment in prioritizing requests for time on the Director’s calendar and in resolving scheduling conflicts.

    Independently triage telephone calls, mail, faxes, and electronic and voice mail with good judgment and in an efficient and organized manner.

    Monitor and process reimbursements, online payments, and other expenditures.

    Provide interface with department, school, and university offices on behalf of the Director’s office and independently anticipate issues to ensure efficient service and operations. Effectively communicate with academic and administrative leaders, faculty, students, applicants, guests, and other staff.

    Design and produce materials/ reports/grants as required, using various software including Excel, Access, Word, PowerPoint.  Must use independent initiative in using computer programs in an interactive and efficient manner to ensure accuracy and efficient use of time and technology.

    Coordinate meetings and special events; handle contracts, travel arrangements, catering, room reservations, advertising/publicity, A/V support and other aspects as needed.

    Create and independently manage tickler files and follow up activities and tasks on a daily basis.

    Tailor travel itineraries (transportation, lodging, etc.) to the Director’s preferences and to provide the most efficient use of the Director’s time.

    Design and maintain administrative filing system; maintain records through filing, retrieval, storage, coding, updating, and destruction.

    Maintain office equipment and back up data.

    Assist in preparation of grant applications/renewals and IRB applications.

    Other duties as assigned.

 

Qualifications:

Bachelor’s degree preferred; HS Diploma/GED required.   Three year’s relevant office/administrative experience (additional education may be substituted for years of experience). The successful incumbent must have excellent writing, editorial and verbal communication skills: library and online research skills; ability to take initiative and exercise independent judgment to resolve administrative problems; excellent organizational skills with attention to detail; strong interpersonal skills and ability to work as part of a team; strong computer literacy skills and ability to learn new software; ability to work in a dynamic, fast paced environment and respond quickly to changing priorities; ability to interact in a helpful, friendly, and professional manner with students, staff, faculty, deans, scholars, and all others encountered during the course of business.  

 

Salary Range :   $30,000-$35,000
