                        Special Assistant to the Director                                                

General Description:

The Special Assistant to the director provides principal oversight and coordination of the organizational functions of the Director’s office including: researching and analyzing information in order to develop reports; representing the director to a wide range of external and internal constituencies; exercising independent discretion and judgment; ensuring that the Director’s time is used efficiently and well;   and assuming full responsibility for special projects and resolving issues and problems of material importance to the effective functioning of the Director’s office.

 

Responsibilities:

     Conducts thorough research for the Director’s strategic initiatives and gathers background information in preparation for meetings, speeches, reports, and proposals.   Prepares the Director for a full range of meetings, lectures and presentations with Berman Institute Board Members and Trustees, the Provost and University Vice Presidents, University Deans, Faculty, and others

     Develops the agenda and related materials for the weekly Directors meetings (Director and two Institute Deputy Directors), senior staff meetings, and faculty meetings

     Assumes responsibility for carrying out or oversight of projects identified in these meetings

•       Creates professional, accurate, and succinct reports and presentations

     Identifies and briefs the Director on important/key issues, requiring special knowledge and understanding of programs, initiatives, goals, and objectives beyond day-to-day operational knowledge and administrative tasks/activities

     Develops institutional relationships and advises the Director on the best way to communicate with various offices, utilizing sophisticated level of understanding and knowledge of the university and internal relationships

     Represents and speaks on behalf of the Director to members of a broader community such as development and alumni relations staff members, donors, volunteers, and others, and has the authority to commit and make some important decisions independently.   Responsible for resolving problems of significance and criticality, answering questions, providing guidance, and disseminating information

     Carries out critical and important projects, including developing plans, defining and communicating alternatives, and making recommendations regarding appropriate courses of action based on thorough understanding and knowledge of desired outcomes and expectations

     Responsible for correspondence and special reports.   Creates and develops management narrative and statistical reports for institutional leadership.   Composes and edits wide range of letters and other correspondence for Director's office

     Participates in Directors, senior staff, and faculty meetings, makes important contributions to discussions, and recommends effective solutions and courses of action as appropriate.   Takes and distributes minutes for each meeting

     Leads and coordinates meetings, work groups, and/or task forces, including presenting and discussing issues and problems and facilitating discussion for the purpose of developing plans or identifying solutions to problems

     Responsible for the administrative operations of the Director’s office, and for ensuring that the Director’s time and schedule are allocated efficiently and well. Manages problem solving, coordination, and priority setting for the Director and the Director’s office staff, and as appropriate, the Institute’s Deputy Directors.  Responsible for the coordination of reports generated for Director’s office, reviewing and flagging information that may be of interest to the Director and Deputy Directors

     Recommends policy and procedural changes to improve operations for the Director’s office or for the Institute, overall

 

Qualifications:

MA in bioethics (or bioethics related field) preferred; BA/BS with specialized knowledge of bioethics issues/topics required.   Five years of experience in support of a senior executive or senior university leader, providing high level administrative oversight, coordination, and advice (additional education can substitute for experience).   Works well under pressure and meets deadlines; able to synthesize, analyze, critique; self starter, creative/imaginative; excellent organizational, oral and written communication skills; demonstrated ability to address/resolve difficult and multi-faceted problems; ability to work independently with authority and minimal supervision; ability to maintain confidences and discreet, tactful behavior at all times; ability to develop and maintain sound professional relationships among superiors, subordinates and peers; ability to respond to unanticipated needs and last minute changes in priority.

 

Salary Range :   $45,000 - $50,000
